Project Manager

Location: Portland

About The Job:

We are seeking a Project Manager to join our team at Alliant Systems. We offer a wide spectrum of services – new construction, tenant improvement, engineering, maintenance, controls, energy services and commissioning.

Although 90% of the time is focused on the daily running of the mechanical construction projects, this role also requires some business development responsibilities. Some travel may occasionally be required.

The Project Manager performs the following:

  • Research, prepare and present proposals
  • Prepare cost control and expense reports
  • Schedule and track job progress
  • Review design drawings and estimate and write change orders
  • Prepare monthly billings, projections and spreadsheet reports
  • Write subcontracts, purchase orders, correspondence field questions, and job write-ups
  • Supervise preparation of submittals, operations and maintenance manuals, air balance logs and as-builts
  • Develop positive rapport with customers, field personnel, office staff, and suppliers
  • Work with designated Alliant System personnel to obtain training
  • Provide timely and constructive communication with staff and customers regarding project status and concerns throughout all phases
  • Complete job close-out procedures
  • Demonstrate principles of Alliant safety program to ensure project safety is managed effectively, proactively and consistently
  • Work with Windows, Excel, Word and Microsoft Project programs
  • Perform additional tasks as assigned

 

Requirements:
  • Minimum five years project management or project engineer experience
  • Bachelor’s degree in construction management, engineering, or equivalent work experience
  • Experience in mechanical engineering and construction is a plus, but not a requirement
  • Demonstrate a proven track record of successful projects and satisfied customer references
  • Ability to read and interpret construction plans, specs, contracts, proposals and estimates
  • Capable of managing mechanical projects ranging from $100,000 to $2,000,000 plus in size
  • Intermediate knowledge of MS Office and Bluebeam
  • Self-motivated
  • Possess excellent written, verbal and listening communication skills

Project Engineer

About The Job:

We are seeking a Project Engineer to join our team at Alliant Systems. We offer a wide spectrum of services – new construction, tenant improvement, engineering, maintenance, controls, energy services and commissioning. The Project Engineer takes direction from Project Manager to ensure staff efforts are coordinated and directed toward department and company goals. Some travel may occasionally be required.

The Project Engineer performs the following:

  • Manage jobsite documents
  • Coordinate job set-up, site mobilization, project administration and closeout
  • Prepare equipment requisitions with the purchasing department
  • Research, prepare and present proposals
  • Prepare cost control and expense reports
  • Meet performance standards set by department manager
  • Schedule and track job progress
  • Review contracts, design drawings, specs, estimates and write change orders
  • Write subcontracts, purchase orders, correspondence field questions, and job write-ups
  • Coordinate equipment procurement with purchasing department and outside vendors to order and expedite material
  • Assist with monthly financial reporting
  • Support RFP and procurement processes

  • Technical experience specifically including detailed submittal/installation drawing review, dimension checking and material compliance; prior experience with mechanical and plumbing systems desired

Purchasing Assistant

Location: Portland

About The Job:

We are seeking a Project Purchasing Assistant to join our team at Alliant Systems. We offer a wide spectrum of services – new construction, tenant improvement, engineering, maintenance, controls, energy services and commissioning. This position is responsible for a broad range of tasks to support the Purchasing Manager and Department.

The Purchasing Assistant performs the following:

  • Manage project documentation – operations and maintenance manuals, electronic submittal books and procurement logs
  • Assist Estimating Department with document management, quantity take-offs, and bid solicitation
  • Read specifications and drawings
  • Issue purchase orders and subcontracts
  • Request, organize, and file all documents associated with purchase orders and subcontracts
  • Maintain purchase order records in accounting software and become familiar with cost codes
  • Work directly with our vendors/subcontractors to procure quotes and submittals
  • Track equipment lead times and their ETA’s
  • Online ordering for office
  • Purchase order entry
  • Contact vendors on order confirmations
  • Keep personnel notified regarding the status of orders
  • Become familiar with the basic materials and vocabulary used in the trade
  • Intermittently answer and handle incoming calls and visitors
  • Process and managing purchasing deliveries using USPS, UPS, FedEx

Requirements:

Service Coordinator

About The Job:

Essential Responsibilities

The Service Coordinator works with Project Managers, customers, field personnel and office staff in a collaborative manner. This individual is expected to meet performance standards set by the department manager and comply with all company policies and procedures. The Service Coordinator takes direction from the department manager to ensure staff efforts are coordinated and directed toward department and company goals

  • Communicate with customers regarding maintenance, repairs or service needs
  • Dispatch service technicians
  • Assist with coordinating skilled labor for construction warranty
  • Receive and schedule work requests from Sales Department
  • Assist technicians with any office related needs
  • Enter all customer contact information and service requests into computer system as it occurs
  • Assist technicians with time entry when needed
  • Evaluate and prioritize work and service requests on a continual basis
  • Maintain and update computerized scheduling system in real time

 

REQUIREMENTS

  • Ability to effectively interact with customers, technicians, sales and office staff
  • Knowledge of the HVAC industry (preferred)
  • Ability to work well with others as part of a team and demonstrate confidence when issuing directives to the service crew

Accounts Receivable Specialist

ESSENTIAL RESPONSIBILITIES

The accounting specialist performs the following:

  • Set up jobs in accounting system
  • Process and manage job write-ups and change orders
  • Generate job cost billings; interact directly with sales/project management to ensure timely processing of progress billings
  • Cash receipts processing and posting, including credit card payment processing
  • Collect past due receivables generated from both job cost and work order modules

Safety Assistant

Location: Pearl District
Salary: DOE

About The Job:

ESSENTIAL RESPONSIBILIES

Works closely with the Safety Professional and HR department with ongoing safety training, reporting, and recordkeeping. Assists Safety with accident reporting, workers comp claim management, hazard communication and managing PPE. Assists HR with onboarding and orientation of new employees, managing drug testing schedules and results, and processing safety training certificates. This position primarily works in the office with occasional job site visits as necessitated.

 

SAFETY:

Responsibilities include but are not limited to:

  • Support with accident/exposure reporting, tracking, and investigating.
  • Assist with identifying areas for increased training and emphasis of accident prevention. Support in the coordination of light duty tasks for injured employees.
  • Ensure employees meet and/or maintain drug testing requirements.
  • Assist with updating and implementation of company’s Emergency Response Plan. Track and ensure appropriate individuals are trained in the processes and procedures.
  • Support the implementation of safety training programs to include weekly toolbox talks, monthly safety meetings, written materials, and creating proof of training.
  • Assist with new hire training on common safety hazards of construction sites. Site specific training (i.e., confined space, fall protection, MEWP operation, etc.)
  • Ensure that all posting requirements are up to date.
  • Maintain department confidentiality.
  • File, organize and maintain all paperwork associated with above referenced tasks.
  • Learn basic trade vocabulary.
  • Participate in cross-training.
  • Perform additional tasks as assigned.

 

HR:

  • Assist with new hire onboarding and orientation. This includes sending new hire paperwork, ensuring accurate completion, entering information in internal software with accuracy.
  • Update Safety Professional of all incoming new hires, assist with new hire safety assessment and trainings.
  • Assist with internal workers comp review, collaboratively with HR and Safety.
  • Maintain driver qualification files.
  • Assist with office safety assessments and trainings
  • Organize incoming PPE, apparel, and safety supply deliveries
  • Other HR assistance as applicable

 

QUALIFICATION REQUIREMENTS

The candidate must possess the following skills, knowledge and abilities:

  • Intermediate computer skills with MS outlook, Word, and Excel.
  • Previous HR, Safety, and/or Construction experience preferred.
  • Able to clearly and concisely draft and/or present instructions, policies, notes, training topics for all team members.
  • High level of organization and strong attention to detail in all activities is imperative.
  • Clean driving record.
  • Strong work ethic, possess a positive attitude with willingness to proactively solve issues.
