Payroll and Accounting Administrator

ABOUT THE JOB:
Essential Responsibilities
-
Process accounts payable invoices and employee expense reports
-
Reconcile vendor and credit card statements; research and resolve any discrepancies
-
Obtain insurance certificates from subcontractors and manage expiration dates and compliance with our insurance requirements
-
Post customer payments and submit deposit to bank
-
Post weekly inventory usage and other job cost adjustments as needed
-
Process payroll timecards for service technicians and office employee hours each week, ensuring accuracy and timeliness
-
Garnishment calculation and submission
-
Certified payroll reporting for service projects
-
Resolves payroll discrepancies and answers payroll related questions
-
Ability to effectively interact with office, sales, project management, field employees and customers
-
Assist with quarter-end and year-end processing, including 1099 and W2’s
-
Become proficient using company computer systems
-
Respond to voicemail and email inquiries promptly and in a professional manner
-
Maintain department confidentiality
-
File, organize and maintain all paperwork associated with above referenced tasks
-
Troubleshoot and resolve issues for complex payroll issues
-
Learn basic trade vocabulary
-
Participate in cross-training
-
Perform additional tasks as assigned
Qualification Requirements:
-
Minimum two years’ accounting experience using accounting software
-
Minimum two years’ payroll experience, preferably in construction or similar industry with union labor
-
Strong proficiency with Excel, using advanced formulas for payroll and accounting analysis
-
Understanding of federal, state, and local regulations
-
Must be very detail oriented
-
Ability to identify and resolve payroll discrepancies quickly and accurately
-
Ability to accurately handle multiple priorities and meet deadlines despite frequent interruptions
-
Ability to maneuver between fluctuating priorities
-
Research and troubleshooting abilities
-
Possess strong written and verbal communications skills
-
Project a friendly, professional attitude toward co-workers and customers
-
Ability to participate productively in a team environment
